Privacy Notice for Potential Contractor

2. Scope

Whenever you submit for the evaluation of our potential cooperation, participate in our programs and events, want to stay tuned with a future email communication about our enrollment activities or you subscribe to our newsletter (“Cooperation Event”), Text S.A. act as a data controller, this Privacy Notice applies to you and you are bound by its provisions. 

By taking part in any of the Cooperation Event you acknowledge and agree that you have read and understood this Privacy Notice. Furthermore, you acknowledge that your information, including personal data, will be collected, utilized, stored, and processed in accordance with the terms outlined herein and may also be disclosed as described in this Privacy Notice..

Additionally, certain tools used in Cooperation Events may facilitate meeting recordings. It’s important to note that meeting recordings will only be initiated if you provide explicit consent. Your consent for recording is entirely voluntary, and you retain the right to participate in meetings without granting permission for recording.

By providing your consent for recording, you acknowledge that the meeting may be recorded, transcribed, and summarized for assessment and evaluation purposes. Recording and transcription services may be provided by third-party service providers engaged by Text S.A.. These third-party service providers will receive the data collected during the meetings solely for the purpose of providing the transcription services.

3. What information we collect?

We collect and process personal data that you provide us with, or we get through the online applications, cooperation systems, professional companies or alternative channels. We process for example your name, last name, date and place of birth, contact information such as your address, email address, and phone number, other CV or resume information which may contain past employment history (previous employers, job title, contact information for references), your qualifications, education history, other information disclosed by you throughout the process, such as contact information of references, compensation history. We may also process your other data if you provide it to us voluntarily. We do not intend to collect any of your ‘sensitive data’ (in the meaning of the GDPR).

4. Purposes for which we collect and process your data

The Cooperation Event is based on data because we’d like to get to know you, your professional experience and qualifications. We use your information in the following ways:

  • to find a right fit for the services we need, to assess your qualifications and skills. Legal Basis: Processing is necessary for the performance of a contract (Article 6(1)(b) of the GDPR).

  • to consider your application in relation to the range of services you have offered. Legal Basis: Processing is necessary for the performance of a contract (Article 6(1)(b) of the GDPR). 

  • to consider your application in respect of other roles. Legal Basis: Processing is necessary for the performance of a contract (Article 6(1)(b) of the GDPR).

  • to evaluate your abilities required for the activities you are engaging in. Legal Basis: Processing is necessary for the performance of a contract (Article 6(1)(b) of the GDPR).

  • to select suitable individuals for potential cooperation. Legal Basis: Processing is necessary for the performance of a contract (Article 6(1)(b) of the GDPR).to communicate efficiently with you in respect of the potential cooperation. Legal Basis: Processing is necessary for the performance of a contract (Article 6(1)(b) of the GDPR).

  • to defend or assert claims in case of disputes. Legal Basis: Processing is necessary for the purposes of legitimate interests pursued by the controller (Article 6(1)(f) of the GDPR).

  • with your consent, to assess your qualifications, skills, and potential for future opportunities, to consider your application in respect of other roles (also in the future), This processing is carried out in compliance with Article 6(1)(a) of the GDPR). Consent to consider your application in respect of other roles, is not obligatory, and you have the right to participate in the Cooperation Event without providing consent to consider your application in respect of other roles.

  • with your consent, to record, transcribe, and summarize meetings for evaluation and decision-making purposes. Recorded meetings and transcriptions may be used by Text S.A. for the evaluation and decision-making processes related to our potential cooperation.This processing is carried out in compliance with your explicit and voluntary consent (Article 6(1)(a) of the GDPR). Consent for recording and transcription is not obligatory, and you have the right to participate in the Cooperation Event without providing consent for recording.

5. How long will we keep your data?

We will process your personal data only for the purposes stated in this Privacy Notice for the time needed to consider your submission to the Cooperation Event, and in any case for no longer than 10 years from the date therein, if you agreed on that. We can also process your personal data until you unsubscribe from our newsletter.

6. Disclosure and transfer of your data to third parties

The process of considering the cooperation is an important opportunity for us to know you. For this purpose we use not only our own resources, but also the services of external service providers that technically or organizationally help us in the Cooperation Event. We may transfer your data, including personal data, to provide an appropriate software system for identifying talent, administering and evaluating people before starting cooperation as well as improving our practices.

7. Security

We take appropriate measures to ensure that all data is kept secure including security measures to prevent personal data from being accidentally lost, used, or accessed in an unauthorized way. We will do our best to protect your personal data, but we cannot guarantee the security of your data transmitted through any online means, therefore any internet transmission remains at your own risk. We limit access to your data. We grant access to it only to those who have a genuine business need to know it in an authorized manner, and are subject to a duty of confidentiality. We guarantee that we take reasonable technical and operational measures to protect your data and hold them from loss, misuse, and unauthorized access, disclosure, alteration, and destruction.
